Overview of EzyAccounts
The Accounting modules will meet all of your Sales, Purchasing,
Stock Management, Payroll, Asset Registering, Marketing, Ledger
and Statutory Financial Reporting (GST, WET & PAYG) requirements.
The Sales Ordering
& Invoicing module includes Sales Orders, Sales Invoices,
Mail Orders, Cellar Door Sales, Credit Notes, Service Invoicing,
Periodic Billing, Statutory Sales Reports (including register
listings), Sales Budgeting, Sales Analysis Reports and a Sales
Analysis Report Writer. Any combination of Stock, Non Stock
and Text can be recorded on a sales entry. Barcode
scanners can be utilised to speed up cellar door sales
and mail order data-entry. Credit note reasons can
be defined to determine whether stock on hand and/or the sales
reports are to be impacted on processing a credit note.
Debtors can be defined as Balance Forward or Open
Item and are flagged as Retail, Wholesale, Export, Staff
or Group. Unlimited sales areas, sales reps, credit ratings
and payment terms can be created. The debtor ledger and trial
balance reports cater for multiple foreign currencies.
The system also handles Central Billing Debtors where
the sales invoice is sent to the branch but the monthly statement
is sent to head office. Cash, credit card, EFT and cheque payments
can be receipted with bank deposit slips automatically generated.
WET is calculated on 50% of sale price or the nominated notional
wholesale price. WET rebate is also calculated.
The Purchasing module includes
Stock Receipt and Cash Requirement Projections, Cost
Deviations, Creditor Performance and Over Received Purchase
Orders. Any combination of Stock, Non Stock and Text
can be recorded on a purchase order. Withholding tax is automatically
determined and recorded.
Creditors are defined as Registered, Unregistered,
Customs or Import.
Liquor license details can be recorded against creditors
so that the Register of Purchased Wines report can
be automatically generated. Periodic Billing allows
for weekly, fortnightly, monthly, quarterly, six monthly and
yearly billing cycles. The creditor ledger and trial balance
reports cater for multiple foreign currencies. Cash,
credit card, EFT and cheque payments can be made.
The Stock Control module
allows for multiple units of measure and locations
to be defined for each stock item. Unlimited pricing
and discounting structures can be defined. Standard,
Average and Last costing is supported. ABS classes
and Stock Kits can also be easily setup. Stock movements
can be recorded as adjustments, receipts and transfers. The
Committed Stock Report incorporates outstanding stock
transactions in the sales and purchasing modules so that upcoming
stock purchasing and usage are highlighted.
Both Periodic and Perpetual Stock is supported.
Perpetual Stock is where the system records the movement of
stock in and out of the general ledger on a continuous basis,
with the stock accounts in the Balance Sheet always being upto
date. Whereas with Periodic Stock, the stock accounts in the
Balance Sheet do not reflect stock movements within the system
and the 'true' value of the stock is not known until the end
of the 'accounting period' (usually end of month), on completion
of a physical stock-take and valuation. Stock items record GST
supply and acquisition.
The Payroll module allows you to
specify unlimited departments, payroll groups, pay types, pay
rates, leave rules, allowances, deductions and on costs (such
as payroll tax). Sick, annual leave, RDO and long service leave
accruals, Superannuation contributions and group certificates
are automatically catered for. Payment method includes any combination
of cheque, cash, bank deposits and EFT. It is also possible
to specify which employees each paymaster can process.
The Human Resources module
allows you to record additional details about each employee
such as salary reviews, training received and required, qualifications,
benefits received, languages spoken, assessments, medical
conditions and children details.
The General Ledger module
consists of budgets, foreign currencies, bank reconciliation,
multiple bank accounts, consolidation of multiple companies,
distribution journals, standing journals, accrual and reversal
journals, cash payments and receipts, and a flexible financial
report writer. The Ledger, Trial Balance, Profit & Loss
and Balance Sheet reports allow you to specify whether to report
on Actuals Only, Actuals & Budgets, Actuals & Last Year,
Budgets Only, Actuals & Budgets & Variances, or Actuals
& Budgets & Variance %. Financials can be easily exported
to a database, comma delimited file or spreadsheet. The BAS
(Business Activity Statement) can be easily completed.
General Ledger & Stock Movement Interfacing
The Asset Register module
allows for both depreciation and lease payments. The depreciation
methods include straight and reducing, and both book and tax
schedules can be maintained. The Marketing
module is a project management tool designed to help
sales and marketing personnel to monitor correspondence with
prospects and existing clients.
The powerful built-in Sales Analysis
Report Writer allows you to quickly and easily create
complex reports, which can be stored away on the computer for
later use. The General Ledger Report Writer provides
you with unlimited flexibility in reporting Profit and Loss
figures, Balance Sheet figures and combinations of both. The
Company Consolidation Report Writer allows you to report
on several different companies on the one report in regards
to financial information. SQL and Microsoft Access
can also access the databases in the system.
In regards to Security and
user access, each user of the system can be assigned a unique
User ID and password. The user IDs are used in determining
which menu options will be displayed for each user. The Sales
module also allows you to define which users can modify or
delete sales entries and which ones can modify the stock prices
when creating a sales entry. This assists in ensuring that
users can not overwrite the prices that have already been
defined in the system when generating a sale in the sales
order, sales invoice, mail order and cellar door sales areas.
