Detailed
overview of EzyAuction
The auction modules provides comprehensive tools for the management
of each auction whether In-Rooms or On-Site with
emphasis on simplicity and userability.
A sale can be conducted inclusive or exclusive of GST.
The system's flexibility allows you to easily customise how
the system is to operate within your organisation. You can
define unlimited buyers, vendors, vendor types, vendor
costs, buyer costs, buyer premiums, locations, reserve types,
departments, valuers, sales representatives, commission types,
standard catalogue notes, sales, sale groups, vendor letters,
buyer letters and vendor groups.
The system also interfaces with
electronic devices such a Script Writers and Barcode
Readers. The Script Writer feature allows you to quickly
and easily record consignment details without having to use
a computer keyboard. However, text entry via the keyboard
does include word-wrap which does speedup processing.
Similarly, the Barcode feature allows you to easily lot sales
electronically.
Strict integrity is maintained
in regards to consignments and item movements. At an instant
you can ascertain all consignment movements to and from both
vendors and sales. Many facilities exist within the system which
minimise the entering of these consignments. On some occasions
you only need to enter the quantity and description of the item,
and the Item Copy option allows you to easily generate new items.
On creating a Vendor you can specify whether the vendor or another
party (such as a liquidator or receiver) is to receive the payment;
whether the vendor is to incur credit card fees; whether payments
are on hold; whether any sales reps are to receive commission;
and any other costs (such as freight) that are applicable can
also be specified.
Vendor commission can be recorded
against the consignment and/or individual items. Commission
can be recorded as a $ value or as a percentage
(incremental or flat). Buyers premium
can be recorded against the Sale and/or Item. On creating
a buyer, you must specify whether buyer premium is applicable.
Lotting is performed on a per item basis or you can lot a
whole consignment in the one process. Lotted items can be
moved between vendors and consignments without having to return
items first and then receipting it for the new consignment.
The trust ledger menu options
allow you to maintain the trust chart of accounts, process journal
entries, perform bank reconciliation's, produce trial balance
reports and purge historical data as required.
The Invoice Entry option is extremely powerful in that it allows
you to:

You can invoice a lot over a number of buyers and if a buyer
purchases a number of lots, you can record all the lots against
one or more invoices. This option also displays both page
totals and running gross sales amounts (including the GST
component) as completed selling sheets are processed - useful
if reconciling against selling sheets.
The Buyers Accounts Receivable and Vendor Accounts Payable
options allow you to maintain the buyer and vendor ledgers
respectively. The processing of Buyer and Vendor accounts
is similar to that of Debtors and Creditors.
On closing a sale, commissions, premiums, and GST are automatically
included on the payment to be made to the auctioneer. There
are several reports, which will generate important information
in regards to cash flows, consignment movements, sale statistics,
and any anomalies such as unrecovered vendor costs are highlighted.
The Auction Administration options allow you to produce sale
summary reports, credit card reconciliations, import and export
sales data to and from on-site auctions and, import both scriptwriter
and barcode data.
Vehicle details that can be
recorded include low and high estimates, plate, make, model,
body type, rego number, odometer, colour, chasis, engine,
gearbox type, towing agent, etc. Vehicle reports that can
be generated include Register of Consignment Vehicles (Police
Book), Vehicle Notice of Disposal, Motor Dealers Form 7, Form
7A and Private Buyers Form 8.
